Who we are and what this policy covers
ROOMS is a brand for B2B events, founder and professional communities, event consulting, field marketing, audience acquisition and related business development services. This Privacy Policy explains how information may be collected and used when you visit roomsapp.us, request information, register interest in a Room, schedule a conversation or interact with our marketing.
Some event registrations and interactions occur on third-party platforms, which also have their own privacy notices. This policy refers to the ROOMS brand; details about the business operator and further contact methods may be added as confirmed.
Information we collect
Depending on how you interact with us, information may include:
- Identity and contact information: name, work email, phone number, organization, job title and professional profile details that you choose to submit.
- Event and business information: event or community interests, RSVP and qualification answers, target audience, company goals, budget ranges, outreach requirements, questions and other information included in inquiries or bookings.
- Appointment details: dates, time zones and responses submitted through our scheduling partner, Calendly.
- Business calls: notes and, where disclosed and permitted by applicable law, recordings of business calls associated with ROOMS outreach or service delivery.
- Marketing responses: details shared when responding to ROOMS promotions or Meta/Facebook and Instagram lead forms, if and when used.
- Technical information: site usage data associated with analytics technology, such as pages viewed, browser or device information, referrers and cookie identifiers, subject to browser settings and applicable requirements.
We may also receive business contact details from event co-hosts, partners or professional sources when relevant to legitimate business outreach, subject to applicable laws and preferences.
How we use information
We may use information to respond to inquiries, assess event and service fit, coordinate RSVPs, manage event communications, schedule calls, provide requested materials, prepare proposals, operate agreed services, analyze website and campaign performance, improve event experiences and follow up on relevant business opportunities.
We may send updates about ROOMS, relevant events, services or partnerships when permitted. You may ask us to stop non-essential marketing messages by replying to them, using any unsubscribe method provided, or contacting us using the route described below.
Where privacy law requires a specific legal basis or consent for a particular use, the appropriate basis or consent must be determined for that activity.
Meta and other advertising lead forms
ROOMS may advertise on Facebook and Instagram. If you submit a Meta Instant Lead Form or otherwise choose to share information through a Meta advertisement, we may receive the submitted fields, such as contact details, company information and your expressed business or event interests, for follow-up about the offer or request described in that form.
Meta separately processes interactions with its platforms under its own privacy terms. ROOMS uses the Meta Pixel to measure website page views and, on the VC Founder Rooms inquiry flow, successful inquiry submissions and confirmed appointment bookings. Meta may receive browser and device information, identifiers and event activity for advertising measurement and attribution. ROOMS does not send your fund-size, investment-thesis, qualification answers or other form-response details as Meta Pixel event parameters. No Meta Conversions API integration is installed in this website package. Where required, additional notice, consent or opt-out controls must be implemented before non-essential marketing tracking occurs.
Security and retention
We aim to limit access to information based on operational need and use measures appropriate to the data and services involved. No online service or electronic transmission can be guaranteed completely secure.
We keep information for as long as reasonably needed to respond to requests, administer events or services, maintain business records, honor preferences and fulfill legal obligations. Specific retention periods depend on the context and the third-party service used; a universal deletion schedule has not been verified.
Your choices and privacy rights
Depending on your location and applicable law, you may have rights to request access to, correction of, or deletion of personal information, and to object to or opt out of certain marketing or uses of your information. Some requests may be limited by legal obligations or other lawful reasons for retention.
To make a request, please use the ROOMS contact route described below and indicate that your inquiry concerns privacy. We may need information sufficient to verify your request before acting on it. For information managed directly by Calendly, Meta or an event platform, you can also consult that platform's privacy settings or contact mechanisms.
